Taylor Outfitters: a one person shop, running like it has help

Taylor Outfitters is a family run custom embroidery and screen printing shop in Doylestown that makes gear for schools, youth sports leagues and local businesses. The owner was handling every order, supplier and email herself, an estimated 13 hours a week of admin on top of the actual printing.

What testing caught before it cost her

Every change runs on a copy of the shop's data first. In the first two weeks, that process found and fixed problems a quick setup would have missed.

Week 1
One supplier's invoices were being missed

A single typo in a sender address. Fixed, and every missed invoice was recovered into the price sheet.

Week 1
Items she already ordered kept coming back

Duplicate rows from retried runs. Now each item is written once and her checkmarks are never overwritten.

Week 2
Some emails reached the AI blank

Emails sent only as formatted HTML. Now the text is always read, so no reply is drafted from nothing.

Week 2
Drafts got confused on forwarded threads

Now each draft knows who sent the email and skips threads where she was only copied.

What it does

Six systems that take work off your plate

They work together inside the email and spreadsheets you already use. Each one runs on its own schedule and asks you whenever a decision is yours to make.

Every morning

Order lists

Reads your new orders and tells you exactly what to buy and from whom, with the details already worked out.

As you work

Order checklist

Tick off what you ordered on one page. Anything you skip comes back on the next list, so nothing slips.

As email arrives

Reply drafts

Sorts your email and drafts replies in your voice. It never makes up a price or a promise; it marks the spot for you.

On every invoice

Cost tracking

Reads supplier invoices and keeps a running sheet of what everything actually costs you.

How it works

No new software to learn

Everything runs inside your own Gmail and Google Sheets. You own all of it, and you can turn any piece off at any time.

Step 1

A free 20 minute call

You walk me through how orders, quotes and email come in today and where your hours go.

Step 2

Built and tested on a copy

I build the systems on a copy of your data, test them, then switch them on in your own accounts.

Step 3

Measured every week

Your Monday summary shows what was handled. I keep tuning it as your business changes.

Common questions

Before you call

Will it send emails without me?

No. It writes drafts that wait for you. Nothing goes to a customer until you read it and hit send.

Do I need to be good with computers?

No. You keep using your inbox and spreadsheets the way you do now. The systems work in the background.

Who owns it?

You do. It runs in your own accounts, and you can turn off any part of it whenever you want.

What does it cost?

It depends on what you need. After the first call you get a fixed price in writing, with no surprises.
